System Update - November 2021 - Discover the latest updates to My Gadget Repairs

As always, our team’s core focus is to deliver a seamless experience for our users. We have been busy working on product improvements over the past month and wanted to share a few highlights.

Settings:

  • General > Report / View
    • Report Table Search Field Behaviour:
      • We have added an option to change the way the "Search:" box behaves on most of the pages, by default it starts the search as soon as typed however we have added the following options.
        • As you type
        • When you press enter
        • When you press ctrl + enter
    • Report Export Buttons
      • You can now choose which button to show on the reports. The followings are the options.
        • None
        • ALL
        • Copy
        • CSV
        • Excel
        • PDF
        • Print
  • General > Others
    • Auto Dismiss Reminder Bubble
      • You now have to option to keep the "Reminder Notification Alert" open all the time. Once you feel you have done with it then you can click on the "Don't Remind" button,
  • Invoice
    • Lock Line Items on Payment
      • Disabling t​​​​​​his option will allow you to delete the line items even after the payment has been made.
  • Customer > Credit Limit
    • We have added "Credit Limit" functionality which can be set against an individual customer. Credit Limits are the threshold that a company (the creditor) will allow its customers to owe at any one time without having to go back and review their credit file. Credit Limit is the maximum amount that a firm is willing to risk in an account. In other words, The credit limit is the maximum amount of loan that the seller accepts to grant to its customer. 
    • We have added the following configuration in the settings > customer.
      • Enable Credit/Account Limit: Enables or disable the credit limit. Please note that this will create a new "Payment Type" called "Customer Credit/Account" which will be used as a payment method via the POS interface as you are aware that from the POS you have to set a payment type, in the case of "Customer Credit/Account" you will see the POS payment like this. From the ticket, you don't need to set the payment as that because you can just leave it until the customer decided to pay. 
      • Check credit limit on Repair: If you enable this setting, the system will check any pending payments of the customer on repair invoices and compare them with the customer's credit limit.
      • Check credit limit on POS: If you enable this, the system will check any pending payments of the customer on POS orders and compare them with the customer's credit limit. 
    • Note that enabling both settings will check both repair invoices and POS orders for pending payments and compare the total due amount with the customer's credit limit.
    • If the customer's due amount (for ticket invoices, POS orders, or both) reaches its credit limit, an alert will be shown on the customer's information card in the following interfaces
      • Repair (New/Modify)
      • Estimate (New/Modify)
      • New POS Order
  • Product
    • Product Dropdown Template
      • You can now add product custom fields in the "Product Dropdown Template".
    • Purchase Order
      • Items Order
        • We have added an option so you can order the purchase order line items, there are 2 options "Date Created (asc)" and "Date Created (desc)", the default option is "Date Created (asc)".
          • Asc: Order by Ascending - The oldest at the top.
          • Desc: Order by Descending - The newest at the top.
    • Show Override Change e.g. £25 £15
      • You can now show the price override change on the invoice, ticket and pos receipts, the system will only show if the price has decreased and not the other way around.
    • Estimates
      • Set Ticket as Work Approved when Estimate Status is Approved
        • We have added an option so you can set the ticket status "Work Approved" automatically when the estimate is converted to a ticket.
  • Template Editor
    • [LINE_ITEMS] TAG
      • We have added a new option in the line item fields called "price_inc_tax" that will allow you to show the price including tax regardless of what the quantity is.
      • We have added a new option in the line item fields called "serial_numbers" that will allow you to show the serial numbers used. [LINE_ITEMS] tag is used in the following templates.
        • Repair Invoice
        • Repair Receipt
        • Estimate Receipt
        • Ticket Repair Label (Ticket Label)
        • Customer Label
        • Shipping Label
        • Picking Slip

Estimates:

  • Credit Limit
    • As soon as the credit limit hits the system will show you the message on the screen as long as "Check credit limit on Repair" is enabled via the shop settings. Please note that you can still create the ticket and take the risk if you want to.
  • Price Override Indicator
    • With each line item, we now show a red asterisk indicator where the price override has happened.
  • Private Notes
    • We have added a new field called "Private Notes", these notes would be used for internal purposes.
  • Estimate Receipt
    • Price Override Indicator
      • If the price override has happened we now show the old price with a strike through e.g. £250 £200.
  • Estimate Approval - Set Ticket as Work Approved when Estimate Status is Approved
    • When you convert the estimate to a ticket, the ticket "Work Approved" will be now automatically set.

Tickets:

  • Credit Limit
    • As soon as the credit limit hits the system will show you the message on the screen as long as "Check credit limit on Repair" is enabled via the shop settings. Please note that you can still create the ticket and take the risk if you want to.
  • Bulk Ticket Update
    • You can now update "Stations/Locations" via the bulk ticket interface.
  • Price Override Indicator
    • With each line item, we now show a red asterisk indicator where the price override has happened.
  • Ticket Status
    • You can now update one or more custom fields data dynamically when you change the ticket status. Let's say you have a custom field called "Received Package Date" and you want to update this automatically when you change a particular status and set it as today's date, you can do that as the system will allow you to map the custom fields you want to update and there is an option to set the value as current date and time.
    • You can also set the "Station/Location" automatically based on a ticket status if needed.
    • The above two options allow you to automate your workflow better so there are not a lot of clicks when you're updating the ticket status.
  • Ticket Receipt
    • Price Override Indicator
      • If the price override has happened we now show the old price with a strike through e.g. £250 £200.
  • Exchange Serializes item with another
    • We have added an option called "Exchange Serial" that will allow you to change/swap the current serial to another one even if the invoice is fully paid. 
  • Lock Line Items on Payment
    • If the setting "Lock Line Items on Payment" is disabled then the system will allow you to delete the line item after the invoice has been paid, such a case can occur when the customer has decided to change/swap what they have already paid for to another item.

Customer Manager:

  • Credit Limit Tab
    • If "Credit Limit" is enabled then you will see a new tab called "Credit Limit" where you will see manage the credit limit and see the historic changes. The system will keep a log of every change you make.
  • Customer Import/Export
    • We have added a new column called “InvoiceEmail” which will use the customer's field called "Invoice Email Address (If different than email address)".
    • We have also added another column called “CreatedDate” which will allow you to set the created date during the customer import".

Product Manager:

  • Create/Modify Products
    • You can now set where you want to show the products, there might be a case where you just want to use the products in bundles but don't want to show them on the "POS" or "Ticket" interface. The option is called "Display Products on" which has 3 values.
      • All Interfaces
      • POS Only
      • Tickets Only
  • Import/Export
    • We have added a column called "DisplayOn" which will allow you to set "Display Products on" during the import and the same column will be included in all the exports as well.
  • Serach Form
    • We have added a new field called "Description" in the search form that will allow you to search in the product description.
    • You can also search by "Display Products on" and the followings are the options.
      • All Interfaces
      • POS Only
      • Tickets Only

Shop Users:

  • Clock-in Required after Login
    • We have added an option to enforce the "Clock In" when a user logs in. As soon as the user logs in the "Clock In" popup will stop appearing.

Purchase Order:

  • Search Form
    • We have added a new field called "Payment Status" in the form with the following options. Please note that you must enable "Enable Purchase Order Payments" via the shop settings > product > purchase order.
      • Any
      • Due
      • Paid
  • Select All - Marked Selected As Received
    • We have added a new option to "Select All" purchase order lines and then "Marked Selected As Received". Let's say you have 40 lines items and you received 38, selecting all then unticking the ones that have not been received will speed up the process. Once selected then you can just click on the "Marked Selected As Received". Please note that you already have an option called "Marked All Received" but this option is useful when you have received the whole purchase order.
  • Purchase Order > Items Order
    • Line items order is now based on the setting, there are 2 options "Date Created (asc)" and "Date Created (desc)", the default option is "Date Created (asc)".
  • Modify Supplier's Product Code
    • By default supplier's product code comes from the product however you may order the same product from 2 different suppliers, in such a case we have allowed you to change the supplier's product code for just that PO. Please note that this will NOT change the supplier's product code in the product, this will only change the supplier product code on the following 4 interfaces.   • Shortcut to Add the product in the line item
    • We have added a new shortcut "ctrl + enter" to add the selected product in the PO line item.

Sales:

  • Payment Date
    • You can now change the payment date if needed on both ticket and pos.
  • Ticket Invoices
    • Price Override Indicator
      • If the price override has happened we now show the old price with a strike through e.g. £250 £200.
    • Manual Send Email
      • We have added the option to edit the body and the subject of the email.
    • Unregister a Payment
      • You can now unregister the payment from a register and then attach it to another register. You may have processed the payment via the wrong register so this will allow you to unbind the relation so you can attach it to a correct register.
  • POS Invoices
    • Price Override Indicator
      • If the price override has happened we now show the old price with a strike through e.g. £250 £200.
    • Manual Send Email
      • We have added the option to edit the body and the subject of the email.
    • Unregister a Payment
      • You can now unregister the payment from a register and then attach it to another register. You may have processed the payment via the wrong register so this will allow you to unbind the relation so you can attach it to a correct register.
  • Returns
    • You can now refund a line item with the "0" amount. 
    • You are now able to use the decimals in quantity on returns. For example, you sold 1 hour of rebuild labour @ £50 and want to refund partially, You are now able to reduce the 1 hour to 0.5 hours and only refund £25.00 or 0.8 hours and only refund £48.

Reports:

  • Customer Report > All where balance is due
    • If "Credit Limit" is enabled then we will show the "Credit Limit" column on the report so you can see the limit and what's owed by the customers.
  • POS Sales 
    • We have made the following changes due to the "Credit Limit".
      • Payment Dates: You can search by the payment dates.
      • Status dropdown: You have the following options.
        • Any
        • Due
        • Paid
  • Payment Report
    • We have added a new field in the search form called "Payment Method" which will allow you to search by payment methods. Please note that you already have a "Search" box which also allows you to do the same.

POS Interface:

  • Collapse "Available Stock" section
    • You have now the option to collapse the "Available Stock" section in the POS. 
  • Credit Limit
    • As soon as the credit limit hits the system will show you the message on the screen as long as "Check credit limit on POS" is enabled via the shop settings. Please note that you can still create the pos order and take the risk if you want to.

API Interface:

  • /customers - Collection
    • GET
      • We ​​have added a new element called "creditlimit" which will show the current credit limit of the customer.
    • POST
      • We ​​have added a new element called "creditlimit" which will set the current credit limit of the customer.
  • /customers - Member

      • We ​​have added a new element called "creditlimit" which will update the current credit limit of the customer.
