System Update - May 2022 - Discover the latest updates to My Gadget Repairs

As always, our team’s core focus is to deliver a seamless experience for our users. We have been busy working on product improvements over the past month and wanted to share a few highlights.

Settings:

  • Product > Purchase Order
    • Allow Line Item Repair Disassociation
      • We have added an option to disassociate the relation between the ticket and PO line item as you may want to delete the ticket line items. Currently, if there is a "Received" PO the system will not allow you to delete the ticket line item but with this, you can disassociate the PO line item first and then delete the ticket line item.
  • Notifications
    • You can now use double quotes in the "SMS TEXT" if needed. 
    • 25 - Estimate to the customer when an estimate was created
      • We have added the following new tags for the SMS message.
        • {estimate_total}
        • {estimate_short_info}
        • {estimate_approval_action}: Now the approval link can also be sent in the SMS.

Notifications:

  • We are now adding the following events in the system notification and the notification popup.
    • When the customer pays for the "Ticket Invoice" via the customer portal.
    • When the customer pays for the "Pos Order" via the customer portal.

Leads Manager:

  • Saved Search
    • We have added a "Rolling Dates" feature in the search form for "Saved Search". that will allow the dates to dynamically change based on when it's running. E.g. if you set the "Rolling Created Date" to "Last 7 Days" then it would always show you the last 7 days when it's run. It's a very handy feature and you will never need to change the fixed dates. We have added the following options in the "Rolling Dates" with the 1 date we offer in the search form "Created Date". 
      • Today: This will set the date to today's date.
      • Yesterday: This will set the date to yesterday's date.
      • Last 7 Days: The date will be set to last 7 days.
      • Last 30 Days: The date will be set to last 30 days.
      • Last Month to Date: The date will be set to 1st of the last month to  today's days.
      • Last Week: The date will be set to last week's date.
      • Last Month: The date will be set to last month's date.
      • Last Year: The date will be set to last year's date.
      • This Week: The date will be set to this week's date.
      • This Month: The date will be set to this month's date.
      • This Year: The date will be set to this year's date.
    • If the "Rolling Dates" were applied then you will see a "Calendar" icon on the "Activity Boxes" so you can distinguish between them.

Estimates:

  • Search Form
    • We have added the following fields in the search form.
      • Expiry Date Between
  • Saved Search
    • We have added a "Rolling Dates" feature in the search form for "Saved Search". that will allow the dates to dynamically change based on when it's running. E.g. if you set the "Rolling Created Date" to "Last 7 Days" then it would always show you the last 7 days when it's run. It's a very handy feature and you will never need to change the fixed dates. We have added the following options in the "Rolling Dates" with the 3 dates we offer in the search form "Created Date", "Customer Approved Date", "Customer Rejected Date" and "Expiry date".  
      • Today: This will set the date to today's date.
      • Yesterday: This will set the date to yesterday's date.
      • Last 7 Days: The date will be set to last 7 days.
      • Last 30 Days: The date will be set to last 30 days.
      • Last Month to Date: The date will be set to 1st of the last month to  today's days.

Tickets:

  • Search Form
    • We have added the following field in the search form.
      • Due Date Between
  • Ticket Monitor
    • WhatsApp Link
      • We have added a WhatsApp link next to the mobile field that will open the web/software-based version of WhatsApp.
  • Ticket Timers
    • We have added an option with the ticket time log so the time log can be added on the ticket as a service/product and time will go as quantity, each time log can be billed as a seperate service/product if needed. If the ticket line item has already that service/product then the existing quantity will be added and if it's not in the line item then a new line item will be created.
    • All the "Ticket Timer" notes will be added as "Product/Service" description in the following format.

  • Ticket Saved Search
    • We have added a "Rolling Dates" feature in the search form for "Saved Search". that will allow the dates to dynamically change based on when it's running. E.g. if you set the "Rolling Created Date" to "Last 7 Days" then it would always show you the last 7 days when it's run. It's a very handy feature and you will never need to change the fixed dates. We have added the following options in the "Rolling Dates" with the 4 dates we offer in the search form "Created Date", "Updated Date", "Ticket Comments Status Added Date", "Feedback Date" and "Due Date". 
      • Today: This will set the date to today's date.
      • Yesterday: This will set the date to yesterday's date.
      • Last 7 Days: The date will be set to last 7 days.
      • Last 30 Days: The date will be set to last 30 days.

    • By default, we now show the "Active" loan devices when you go to the "Loan Device Manager".
    • Search Form
      • We have added a search form with the following fields.
        • Created Date: Searches in the date created field.
        • Assigned Date: Searches in the assigned date field.
        • Agreed Return Date: Searches in the agreed date field.
        • Name: Searches in the loan device name field.
        • Type: Searches in the loan device type field.
        • Identifier: Searches in the loan device identifier field.
        • Tag: Searches in the loan device tag field.
        • Brand: Searches in the loan device brand field.
        • Model: Searches in the loan device model field.
        • Status: Searches in the loan device status field. The default status will be "Active".

Customer Manager:

  • WhatsApp Link

    • Lock Screen PIN
      • We have added an option to set a 6 to 8 digit PIN so the user can quickly log in or switch by adding this PIN from the lock screen. This way they don't need to fully log off and log in as a different user. Please note that the PIN has to be unique within the company.

Purchases:

  • Purchase Order
    • Search Form
      • We have added the following field in the search form.
        • Due Date Between
    • Saved Search
      • We have added a "Rolling Dates" feature in the search form for "Saved Search". that will allow the dates to dynamically change based on when it's running.     • We have now added the option to backdate any expense if added by mistake.

Sales:

  • POS Sales
    • You can now create a "Recurring Invoice" of any "POS Sales". Simply click on the newly added button in the "Actions" called "Create Recutting Invoice". That will open the recurring invoice interface and all the pos line items will be added to that recurring invoice. After this, the recurring flow is the same as the ticket.
    • We have added a new field called "Include Recurring" in the search form with the following values.
      • Any: This will list all of them.
      • Yes: This will list the ones created from the "Recurring" process.
      • No: This will list the ones created from the "POS" interface.
  • Ticket Invoices
    • Search Form
      • We have added the following field in the search form.
        • Due Date Between
    • Saved Search
      • You can use the Saved Search feature to save the defined search criteria to ease your search experience. This allows you to quickly perform a search without needing to manually enter all of the search conditions each time. You can create, modify, and delete a saved search. As soon as you created a saved search, there will be a new drop-down on the search form which will list all of the saved searches.
      • You can also share your saved searches that you think may be useful to other staff members.
      • Please note that you already have a "Saved Search" feature in the leads, estimates, customers, tickets, products, and purchase orders.
      • We have added a "Rolling Dates" feature in the search form for "Saved Search". that will allow the dates to dynamically change based on when it's running.     • Activity Boxes
      • If your "Saved Search" is enabled to show in the "Activity Boxes" then it will be shown here. Please note that "Ticket Invoices" do not have any default "Activity Boxes".
  • Recurring Invoices
    • The recurring invoices interface now has the following new options.
      • You can now create "Recurring Invoices" for POS orders as well. The system will also let you choose what finalize as "Ticket Invoice" or "POS Sale". For example, you may have created the recurring invoice from an existing ticket invoice but going forward you want a "POS Sales" so the customer could pay then you can do that or vice versa. 
      • Please note that when we create a "POS Sales" as an outcome of a "Recurring Invoice" then the system creates a "POS Hold" order so it's best to have the following notification enable so the customer is aware and also this notification will have the link to make the payment.
      • Search Form
        • We have added the following new field in the "Search Form".
          • Type
            • Any
            • Ticket Invoice
            • POS Sale
        • "Parent Invoice" now has both ticket invoices and pos sales.
      • Create New/Modify Existing Recurring Invoice
        • The "Primary Invoice" dropdown now has the "POS Sales" as well.
        • We have added a new field called "Type" that will determine what should be generated as an outcome of this "Recurring Invoice". The followings are the options.
          • Ticket Invoice: This will generate a "Ticket Invoice".
          • POS Sale: This will generate a "POS Sale"
      • New Tabs
        • We have added the following 2 new tabs.
          • POS Sales: This will list all the paid "POS Sales".
          • POS Sales Due: This will list all the "POS Hold" entries, as you are aware that recurring will make the POS Hold and that's where you will see if it has not been paid by the customer.

Shop Users:

  • Lock Screen
    • A PIN can be used now on the lock screen.
  • Switch User
    • We have added an option called "Switch User" for a quick login, this screen will use the PIN rather than the username and password.
  • Profile Page
    • We have added a new field called "PIN" so the staff can log in/switch via this PIN.

API Interface:

  • /groups - New Endpoint
    • GET
      • We have added a new endpoint called "/groups" that will list all the customer groups.
  • /groups/{groupId} - New Endpoint
    • GET
      • We have added a new endpoint called "/groups/{groupId}" that will show the individual customer group information.​​​​​ ​​
  • /tickets/updated - New Endpoint
    • GET
      • We have added a new endpoint called "/tickets/updated" that will list all the tickets that have been recently updated. Please note that the system will preserve the data for 30 days.
  • /tickets
    • You can now send more than one "status" as a list like "1,7" or "New,Invoices" that will reduce the number of requests you make.
  • /products/{productId}/upload - New Endpoint
    • POST
      • We have added a new endpoint called "/products/{productId}/upload" that will allow you to upload the product image.
        • You must use this endpoint to initiate an upload request for these allowed file types (png or jpg) with only metadata of the file. 
        • Use Content-Type: application/json to post required fields to send metadata of the file as specified below.
        • If accepted, the API will create and return the “Location”  header in the response with a 201 status code, you will use this in your subsequent request with “PUT
    • PUT
      • This is the second step of the upload. Once you have the location from the header via the previous step then you do a "PUT" on the location.
      • Complete the uploading file with the following endpoint.
      • Simply send a body with binary data of the file on this endpoint. Make sure it’s the exact file’s binary that you sent metadata of, via the "POST" request above. If the binary does not match the metadata, the upload will fail.
      • If successfully uploaded, the API will return a 200 status code.

3rd-Party Integration:

    • Triggers
      • New Customer Group - New Trigger
        • This trigger will be initiated when you create a new customer group in MGR.
      • New Ticket Update
        • This trigger will be initiated when you update an existing ticket in MGR. Please note that the system will preserve the data for 30 days.
    • Actions
      • Find Customer Group - New Trigger
        • This action will let you perform a "Search" on your customer group in MGR.
