System Update - January 2021 - Discover the latest updates to My Gadget Repairs

As always, our team’s core focus is to deliver a seamless experience for our users. We have been busy working on product improvements over the past month and wanted to share a few highlights.

Settings:

  • Tickets
    • --Allow Adding Defective/Breakage?
      • This option will allow you to manage "Defective/Breakage" via the ticket interface.
  • Customers
    • --Company name is required when VAT given
      • You can now make the "Company Name" required if the VAT number is provided.
  • Products
    • -- Dropdown Search Method - Product Dropdown
      • We have added an option so you can decide how product search should perform when you type in the product dropdown. There are two options.
        • By Words in Phrase: "WHITE OEM iPhone 6 Plus" will bring all records which contains "WHITE", "OEM", "iPhone", "6" and "Plus".
        • By Phrase: e.g. "Screen WHITE OEM iPhone 6 Plus" will bring all records with exactly containing "Screen WHITE OEM iPhone 6 Plus". This is the default option.
    • -- This shop is a warehouse?
      • You can now set the current shop as a "Warehouse", please note that we already had the "Warehouse" concept, we are now allowing the shops to set that. There is no limit on how many warehouses a franchise can have.
  • Notifications
    • Webhooks
      • Each notification can now be sent to a webhook or an endpoint of your choice. MGR’s notification Webhook will notify a URL of your choice via HTTP/HTTPS POST with information about events that occur as MGR processes your data. Notifications can be configured to send webhooks to your server when important events occur within the MGR system. These webhooks allow you to trigger different behaviours in your server depending on the status of the notifications you send.
    • Webhook Queue
      • We have also added a queue concept so you can see which ones are still pending and the ones failed so you can retry them.

Tickets:

  • Linked Tickets / Sub-Tickets / Child Tickets
    • After lots of feedback from our customers, we’ve learned that breaking down repair into smaller repairs helps manage your business as a whole better. That’s why we’re so excited to roll out our new linked ticket/sub-ticket/child ticket feature. There might be a case when one job is split into different workshops and you want to track each process separately.
    • A parent ticket can be split up into several tickets which can be assigned and tracked separately in your workflow. Splitting tickets into smaller tickets allows you to breakdown structure which often provides a better picture of the progress on the ticket and allows each member involved to better understand what part of the repair they are responsible for.
    • When the parent ticket is "Resolved/Pickedup" all the linked tickets are also set like that so you don't have to change the status of individual linked tickets.
    • On the ticket manager parent ticket and linked tickets have an icon so you easily identify which one is which.
    • Manage Linked Ticket
      • We have also added an interface where you can manage the parent ticket and it's linked ticket just in case if you have forgotten to create the relationship at the beginning.
    • Linked Tickets Tab
      • We have added a new tab in the tickets to show all the linked tickets so you can manage them easily.
    • Ticket Timeline View
      • Timeline view now shows the linked tickets so you can easily track them in one flow.
  • Ticket Presets
    • Export Presets
      • You can now export ticket presets to a comma-separated value (CSV) file. Export generates fresh data each time you export.
  • Purchase Order information with each item line
    • You can now see which purchase order that item line is ordered in. We have added an icon next to each item line which will take you to the purchase order.
  • Breakage and Defective Parts
    • You can now use the ticket interface to log "Breakages" and "Defective" parts.
  • Create Purchase Order from Ticket
    • You can now create a purchase order directly from the ticket interface, purchase order items will be added automatically based on the ticket, please note that purchase orders created from ticket interface will not be adding the items from “Low Stock” and “Back Order” process.
    • If the purchase order has been created from the ticket then you will not be able to delete the ticket items line if the purchase order has been submitted to the supplier. You will need to delete the purchase order item line first and then you can.
    • The same rule would apply on the deletion of the ticket too, If the purchase order has been created from the ticket then you will not be able to delete the ticket if the purchase order has been submitted to the supplier. You will need to delete the purchase order first and then you can.
  • Purchase Order Tab
    • We have added a new tab called "Purchase Order" which will list all the purchase orders related to this ticket.
  • Estimate Tab
    • We have added a new tab called "Estimates" which will list all the estimates related to this ticket. This tab will only show if you have more than one estimate associated with the ticket as we already show the first estimate information on the overview tab.
  • Ticket Actions Menu
    • We have moved a few options in a submenu to categories the options/actions a bit better.

Customer Manager:

  • Customer Purchases
    • Search Form
      • We have separated the "Item Search" and "Item Buy Back Search". The search form now has the following new fields.
        • Item Unique Identifier
        • Buy Back Between Dates
        • Show Items With Buy Back
        • Show items with expired Buy Back
    • Item Lines / Bulk Items
      • We have added the "Buy Back" option at the item level. If you're offering to buy back then you enable that and set the "Buy Back End Date" and the "Buy Back Amount". When the customer comes back within that timeframe you can convert the product and then sell it back to the same customer with the agreed price.
    • Receipt
      • The customer purchase receipt now shows the "Buy Back End Date" and "Buy Back Amount".

Product Manager:

  • Bundles
    • Import Bundles
      • Importing bundles allows you to import your data from a comma-separated value (CSV) file. This might be helpful when you are migrating from another system.
    • Export Bundles
      • You can now export bundles to a comma-separated value (CSV) file. Export generates fresh data each time you export.
  • Categories
    • Product Categories and Subcategories
      • Categories make products easier to discover in searches and through navigation. Multi-level categorization and proper hierarchy arrangement of products are the foundation of good user experience. You can create multi-level categories for the products.
    • Import / Export Categories
      • We have also added the concept of "Multi-level categorization" in the categories import and export which will make it easier during the import/export process.
  • Product Search
    • We have added an option so you can decide how product search should perform when you type in the product dropdown. There are two options.

Stock Manager:

  • Search Form
    • We have added the following fields in the search form.
      • Breakage - Yes/No
      • Created By - User/Staff Dropdown
  • Stock Adjustment
    • Breakage
      • We added an option to log "Breakage" with stock adjustment, there might be a case where your staff managed to break the part during a repair. There is a "Stock Breakage Report" as well.

Purchase Order:

  • Create Purchase Order from Ticket
    • You can now create a purchase order directly from the ticket interface, purchase order items will be added automatically based on the ticket, please note that purchase orders created from ticket interface will not be adding the items from “Low Stock” and “Back Order” process. Also, it will only show you the suppliers based on the items used on the repair.
    • If the purchase order is created from the ticket interface then in the actions you will see a link to the ticket.
  • Search Form
    • We have added a new field called "Repair Reference", which will allow you to search in the ticket reference.
    • We have added a new field called "Due Between", which will list all the purchase orders were due between these dates.
  • Defective Parts
    • You can now see all the "Defective Parts" logged via the ticket interface in the "RMA - Defective Parts" section.
  • Warehouse
    • A warehouse can now see all the "Purchase Orders" in the franchise which will allow then to see what they have already ordered.
    • In warehouse "Back Order" and "Low Stock" will show all the shops data so it's easy to create the "Purchase Order" for the warehouse.
  • Franchise Account
    • Franchise account can now create the Purchase Orders for the "Warehous from the "Back Order" and "Low Stock".

Reports:

  • Staff Rota/Shift Report
    • Group By
      • We have added a new option in the "Group By" called "Individual" which will list all the shifts individually.
    • Show Columns
      • We have added a new option to show and hide selected columns. Currently, you have the following options.
        • Hours and Amount
        • Only Hours
        • Only Amount
  • Product Report
    • We have added a new column called "Supplier" which will display the supplier of the product.
  • Stock Breakage Report
    • We have added a new report which will list all the stock breakages.
  • Stock Internal Use Report
    • We have added a new report which will list all the internal use stock.

POS Interface:

  • Ticket Presets
    • We have added an option on the POS interface so you can now create a new ticket from the presets. The new link is on the right-hand side menu.

API Interface:

  • /leads - POST - New
    • You can now create leads via the API interface.
  • /leads - PUT - New
    • You can now modify leads via the API interface.
  • /category
    • Category endpoint now has the parent category information.
  • /customFields
    • We have added a new option called "leads" in the type parameter which will list all the custom fields available in the leads.

3rd-Party Integration:

  • Stripe Integration - Strong Customer Authentication Implementation - SCA
    • Stripe integration now covers the "Strong Customer Authentication". Strong Customer Authentication (SCA), a rule in effect as of September 14, 2019, as part of PSD2 regulation in Europe, requires changes to how your European customers authenticate online payments. 
  • XERO Integration
    • XERO integration now uses OAuth2 authentication which is now required by XERO.
    • Map categories with different Sales Account
      • You can now map the product categories with different sales accounts.
    • Map payment types with different Sales Account
      • You can now map the payment types with different sales accounts.
  • QuickBooks Integration
    • Map payment types with different Sales Account
      • You can now map the payment types with different sales accounts.
  • Sage Integration
    • Map categories with different Sales Account
      • You can now map the product categories with different sales accounts.
  • Zapier
    • Triggers
      • New Category 
        • New category trigger now has the parent category information.
    • Actions
      • Create Lead - New
        • You can now create leads via the "Create Lead" action.
      • Update Lead - New
        • You can update existing leads via the "Update Lead" action.
